The abstract submission of VANJ 2020 will be managed through an online system called EasyChair. This system provides the authors complete control over their submissions. There are two stages of submission:
- Abstract submission (2 parts):
Note: If you already have an Easychair account then please use your Username and Password to log in and go to part 2 (Abstract submission).- Part 1: Setting up an account
- Part 2: Submitting your abstract
- Final submission (After receiving the notification of abstract acceptance)
At the early of November, we will send you a confirmation email and a tentative schedule of your presentation. You will be required to record your presentation and upload to the system.
Abstract Submission (2 parts)
Part 1: Setup an account as an author
Go to https://easychair.org/conferences/?conf=vanj20.
(If you already have an account, please skip to part 2.)
This link will bring up a login page for VANJ 2020, select “Create an account”. | |
Click on “I’m not a robot” and then “Continue” | |
Fill in your information and click on “Continue” | |
You will receive a confirmation email. Click on the link provided in the email to continue your registration. | |
Complete your registration by providing all the required information and click on “Create my account”. |
Part 2: Submit your abstract
Go to EasyChair, log in to the conference submission system using your Username and Password (from part 1).
Click on “make a new submission” | |
Follow the instructions and fill in all the required information. *For authors information, you may speed up the process by clicking on “click here to add yourself” *Each author marked as a corresponding author will receive email messages from the system about this submission. There must be at least one corresponding author. *The presenter or speaker must attend the conference on the designated date and present the registered talk. Failure to do so will result in removal of your abstract from the final program. | |
Enter the title and fill in your abstract. (No file attachment is required). Enter 3-5 keywords in “Keywords” field (One keyword per line). | |
Select the Topic category of your abstract (you can select one or two topics that are best fit to your abstract). | |
Select the presenter’s title Select the type of your presentation (Oral preferred or Poster preferred) * Confirmation. Write “Yes” to confirm your agreement with the conference policies *Click Submit | |

Final submission
(After receiving the notification of abstract acceptance)
At the early of November, we will send you a confirmation email about the tentative schedule of your presentation. You need to record your presentation and upload to the system. The required materials are:
- For Poster presentations: A 3-minute video and a .pdf file of the poster;
- For Oral presentations: A 10-minute video of your presentation. You can also upload a .pdf or .ppt(x) file of your oral presentation in advance, to avoid technical issues that may happen due to a slow internet speed in the conference dates.
Deadline for uploading the presentation materials: November 21, 2020, 23:59 JST.
(Failure to upload your required materials will result in the removal of your abstract from the meeting platform and program. The instruction for recording and uploading your materials, as well as information of intellectual property (IP) will be available at Submit Presentation Materials.)
Uploading the materials
- Go to the link: https://easychair.org/conferences/?conf=vanj20. Log in to the conference submission system using your Username and Password.
- Click on “Submission” as shown in the figure below.
- Click on “Add files” in the upper right corner as shown in the figure below.
- Upload your materials (video and PDF or ppt file) as shown in the figure below.
